Master-Keying Survey Companion — Terms of Service
Effective and last updated: 5 November 2026
Master-Keying Survey Companion is provided by Outsourced Key Advice Limited, trading as OK Advice. In these Terms, “we”, “us” and “our” mean Outsourced Key Advice Limited. “You” means the person or organisation using the app. References to the app include its associated services.
We take reasonable care in creating and maintaining the app. It is a tool to assist your work, and you remain responsible for checking information before acting on it. All exclusions and limits in these Terms are subject to the mandatory rights described in section 15.
Related information: Privacy Policy.
1. Acceptance of these Terms
By downloading, installing, subscribing to, accessing or using Master-Keying Survey Companion, you agree to these Terms. If you do not agree, do not use the app.
If you use the app for an employer, business or other organisation, you confirm that you have authority to accept these Terms on that organisation’s behalf.
2. Purpose of the app
The app is a software tool intended to assist with recording, organising and exporting information collected during master-keying and site surveys.
It is an aid to your work, not a substitute for your own professional judgement, site inspection, verification, checking or security procedures. You remain responsible for confirming that information recorded or produced by the app is correct and appropriate before relying on it.
3. Your responsibility for accuracy
You must independently review and verify information captured, interpreted, processed or exported by the app before using it for any operational purpose, including:
- master-keying systems or keying schedules;
- lock or cylinder ordering;
- manufacturing, pinning or key cutting;
- quotations or installation;
- security decisions;
- customer documentation; or
- any other operational use.
Check the information against the site, source records and other appropriate evidence. Do not assume that an entry or export is correct merely because the app has accepted or produced it. You are responsible for resolving discrepancies and obtaining any necessary professional checks or approvals before proceeding.
Errors may arise from user entry, speech recognition, software behaviour, device behaviour, data conversion, exporting, third-party services or other causes. To the maximum extent permitted by applicable law, we do not warrant that information captured, interpreted, processed or exported by the app will always be accurate, complete or error-free.
4. Your data, security, backups and transfers
Local storage and backups
Survey records are normally retained on your own Android device. We do not operate a central cloud database containing your master-keying survey records. Exports, sharing operations and transfers are initiated by you. Device backup and speech-recognition services may also process information as described in the Privacy Policy.
You are responsible for safeguarding your device, controlling access to it, and protecting sensitive master-keying and security information. You must maintain appropriate backups and separate copies of important survey information, and check that those copies are complete and usable.
To the maximum extent permitted by applicable law, we are not responsible for loss, corruption, deletion or unavailability of user data caused by device, operating-system or storage failure; uninstalling or resetting the app; third-party services; interrupted transfers; network failures; software faults; or user action.
User-initiated exports and sharing
The app allows you to export or share survey information. Depending on your chosen method, an export may be passed to another application or service, such as your email application. Handling and delivery are then subject to the security, privacy, availability and terms of the service you select. We do not control third-party email, messaging, storage or other services you choose, and an export through your email application does not mean that we send or store that email.
You must check exported information before relying on it, as required by section 3, and choose a storage, export and sharing method appropriate for the sensitivity of the information.
Optional OK Transfer service
Our optional encrypted file-transfer service, referred to in these Terms as OK Transfer, is labelled OK File Transfer in the current app and Privacy Policy. It is operated by Outsourced Key Advice Limited as a temporary encrypted transfer point, not as a backup service, permanent storage system or hosted survey database.
When you choose this method, file contents are encrypted on your device before upload. The service temporarily holds the encrypted file together with limited operational metadata. The app makes a download link and decryption code available for you to share with the intended recipient, who downloads and decrypts the file on their device.
The service is designed so that the decryption code is handled separately from the encrypted file and is not supplied to us as part of normal transfer operation. We therefore cannot ordinarily read the contents of files temporarily held by the service. This is not a guarantee of absolute security. The app lets you share the link and code separately or deliberately choose a combined link. Anyone who obtains both the link and code, including a combined link, may be able to access the information.
Encrypted files are scheduled for automatic deletion after confirmed successful download, sender cancellation or expiry. Deletion is performed by a cleanup process and may not be immediate; stopping a download before completion does not itself delete the server copy. The Privacy Policy describes the current expiry periods, cleanup rules and limited records retained after file deletion.
Retain your own original files and backups. Transfer files exist only temporarily, links are not guaranteed to remain available indefinitely, and you must not rely on OK Transfer as your sole copy of important information. Nothing in these Terms promises that a backup or transfer will be available or recoverable in every circumstance.
Your responsibility for transfer details
You decide and are responsible for:
- what information to export or transfer;
- who receives the download link and who receives the decryption code or other decryption information;
- confirming that each recipient is authorised to receive the information;
- safeguarding links and decryption information, including any combined link; and
- deciding whether the chosen transfer method is suitable for the information’s sensitivity.
We provide the software and transfer mechanism, but do not decide who should have access to your individual survey or security information.
To the maximum extent permitted by applicable law, we are not responsible for disclosure caused by your sending information, a link or decryption information to an incorrect or unauthorised recipient. To the same extent, we are not responsible for loss resulting from interrupted uploads or downloads, network failures, expired or deleted transfers, lost links or decryption information, recipient error, incorrect recipient details, third-party applications or services, device failure, or failure to retain your own copy. These exclusions are subject to section 15 and do not override mandatory statutory rights.
5. Third-party services
The app may rely on services supplied by third parties, including platform, operating-system, speech-recognition, payment, network, file-transfer or similar providers. Your use of those services may also be subject to their terms.
We do not control those services and, to the maximum extent permitted by applicable law, cannot guarantee their availability, accuracy or continued operation. Changes, restrictions or outages in third-party services may affect the app.
6. Subscriptions and payment
Paid subscriptions purchased through Google Play are processed and administered by Google Play. The subscription price, billing period, renewal, cancellation and payment handling are subject to the information displayed by Google Play at the time of purchase and Google’s applicable terms.
Manage or cancel your subscription through your Google Play account. You can find instructions in Google Play’s subscription help. Uninstalling the app does not cancel a Google Play subscription.
Refunds are handled in accordance with Google Play requirements and any mandatory rights under applicable law. See Google Play’s refund information. These Terms do not remove any refund or cancellation right that the law gives you.
7. Licence to use the app
We grant you a limited, non-exclusive, non-transferable, revocable licence to use the app for its intended purpose while you have a valid right to access it and comply with these Terms. Revocation, suspension or termination is subject to section 16 and applicable law.
This licence gives you permission to use the app. It does not transfer ownership of the software or any intellectual property to you.
8. Intellectual property and your information
The app, software, design, branding and associated materials remain the property of Outsourced Key Advice Limited or its licensors. All rights not expressly granted to you are reserved.
You retain ownership of information you enter into the app. We do not claim ownership of your survey information or customer data. You are responsible for having the authority and permissions needed to record, use and share that information.
9. Prohibited use
You must not:
- reverse engineer, decompile or disassemble the app, except where applicable law expressly permits it;
- bypass or attempt to bypass licensing or subscription controls;
- copy or redistribute the app or associated materials without authorisation, except as permitted by law;
- interfere with or disrupt the app or associated services;
- use the app or associated services unlawfully; or
- attempt to gain unauthorised access to any systems or data.
10. Availability and changes to the app
We may update, modify, improve, replace or discontinue features or the app, subject to applicable law and any mandatory rights you have in relation to a paid subscription.
We take reasonable care in maintaining the app, but do not guarantee uninterrupted or error-free availability. Temporary outages, maintenance and changes in device, operating-system or third-party compatibility may occur. Where required by law, we will give notice of changes or discontinuation and provide any remedy due to you.
11. No professional guarantee
The app does not provide engineering, architectural, security, legal or other professional certification. Its records and outputs are not a certification or approval of a master-keying system, installation or security arrangement.
Using the app does not transfer responsibility for designing, checking or approving a master-keying system from the locksmith, security professional, system designer, installer, customer or other responsible party to Outsourced Key Advice Limited.
12. Disclaimer of warranties
To the maximum extent permitted by applicable law, the app and associated services are provided on an “as available” basis. Except where expressly agreed by us, or required by law, we do not warrant:
- uninterrupted operation;
- compatibility with every device;
- absolute accuracy or completeness;
- freedom from bugs or other errors;
- permanent availability of a particular feature; or
- fitness for your individual project or requirements.
This disclaimer does not exclude, restrict or modify any statutory warranty, consumer guarantee or other right that cannot lawfully be excluded, restricted or modified.
13. Limitation of liability
To the maximum extent permitted by applicable law, Outsourced Key Advice Limited is not liable for indirect, consequential, incidental or special loss arising from the app, its associated services or these Terms.
To the same extent, we are not liable for the following losses or costs arising from use of, inability to use, or reliance on the app or its outputs, whether those losses or costs are direct or indirect:
- loss of profit, revenue or business;
- business interruption;
- loss or corruption of data;
- cost of rework;
- replacement locks, cylinders or keys;
- incorrectly ordered hardware;
- key-cutting or manufacturing costs;
- installation costs;
- travel or call-out costs;
- project delay;
- loss resulting from incorrect survey information; or
- security consequences arising from reliance on unchecked information.
To the maximum extent permitted by applicable law, these exclusions also cover loss or disclosure arising from exports, sharing or OK Transfer in the circumstances described in section 4, including misdirected links or decryption information, transfer failures, expiry, deletion and failure to keep an independent copy.
To the maximum extent permitted by applicable law, our total aggregate liability arising from the app, its associated services or these Terms, across all claims, will not exceed the total subscription fees actually paid by you for the app during the 12 months immediately preceding the event giving rise to the claim. These exclusions and this cap apply regardless of whether a claim is made in contract, tort (including negligence), under statute or otherwise.
These exclusions and limitations do not apply where liability cannot lawfully be limited or excluded. They do not remove any mandatory entitlement to a remedy under the laws applicable to you.
14. New Zealand business users
If you acquire the app in trade for business purposes, you and Outsourced Key Advice Limited agree that the Consumer Guarantees Act 1993 does not apply, only to the extent that contracting out is permitted by section 43 of that Act.
This agreement to contract out applies only where the agreement is in writing, the app or services are supplied and acquired in trade, all parties are in trade and agree to contract out, and it is fair and reasonable that they are bound by that provision. If those requirements are not met, this provision does not exclude the Act.
This provision does not exclude any rights of consumers that cannot lawfully be excluded.
15. Mandatory consumer rights
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, statutory right or remedy that cannot lawfully be excluded, restricted or modified under the laws applicable to you.
If you have mandatory rights under the laws of your country or jurisdiction, those rights continue to apply. They take priority over any inconsistent provision of these Terms, including the disclaimers, exclusions, liability cap, suspension and termination provisions, and choice of governing law.
16. Suspension and termination
Subject to applicable law, we may suspend or terminate your access where reasonably necessary because of:
- a material breach of these Terms;
- unlawful use;
- attempted licence or subscription circumvention;
- a security threat; or
- cessation of the app or associated service.
Where reasonably practicable, we will give notice and an opportunity to address a breach before ending access. Immediate action may be necessary to address unlawful use or a security threat. Any suspension or termination remains subject to your mandatory rights, including any required notice or remedy.
When your right to access the app ends, the licence to use it ends. Ending a subscription or access does not transfer ownership of the software or our intellectual property to you, and does not transfer ownership of your data to us. Manage subscription cancellation through Google Play as described in section 6.
17. Governing law
These Terms are governed by New Zealand law, subject to any mandatory rights you have under the laws of your own jurisdiction that cannot lawfully be displaced. This choice of law does not require you to give up mandatory local consumer protections or remedies.
18. Changes to these Terms
We may update these Terms from time to time. We will publish the revised Terms on this page and change the effective or last-updated date to reflect material changes. Where applicable law requires notice or your agreement to a change, we will provide that notice or seek that agreement.
Changes apply prospectively from their stated effective date. They do not retrospectively remove accrued legal rights or remedies.
19. Privacy
Our handling of personal information is described in the Master-Keying Survey Companion Privacy Policy.
